Cootamundra Oilseeds was established by farmers, for farmers, to make food and feed in a 100% pure, natural and more sustainable way. For more than 20 years, the business has grown to be the largest cold pressing oil plant in Australia, pressing strictly GMO-free conventional and organic oilseed.
Cootamundra Oilseeds first contacted us back in July 2017, knowing there had to a better way to manage their administrative processes with Xero, but not knowing where to start to find the right add-on. They had reviewed MRPEasy, which is a great manufacturing system from Estonia that works with Xero, but didn’t know how to implement it, train the staff, connect it with Xero and eventuate a smooth transition from their existing Sage desktop-based system. That’s where we came in.
Our initial scoping processes identified that they need to have greater visibility into all their stock, including packaging, raw materials and finished goods – not just the seed. They were already familiar with and excited about the prospects of cloud software, as they had already implemented Agridigital, a purpose-built industry cloud software for commodity management. Agridigital handles all the seed management, RCTIs to Xero and more. DEAR Inventory was identified as a more suitable inventory management system as it would provide:
- Greater visibility into stock levels at batch and location levels (even down to bin locations if required)
- First In, First Out (FIFO) costing and ability to batch numbers of finished goods for sale
- Highly customisable client-facing and internal documents (DEAR uses Word doc templates like Xero)
- Improved controls for stock management, adjustments and monthly inventory counts
- Deeper Xero integration with information flowing from DEAR to Xero and back from Xero to DEAR – not just one way.
- COGS calculated in DEAR accurately and sent to DEAR per transaction (no need for a monthly COGS journal!)
As mentioned above, DEAR Inventory was found to be the most suitable cloud solution with Xero for Cootamundra Oilseeds. In conjunction with Agridigital, they now have an end-to-end solution in the cloud that manages seed purchasing an inventory of seed, purchase of other raw materials and packaging, production management to a batch level, detailed reporting in real-time and a real-time view into the financial reports of the company. They have great visibility into all aspects of their business with a cloud solution set that you can log into and review anytime, anywhere.
At the time of writing this article, Agridigital isn’t yet integrated with DEAR directly, however, an integration will be built now that DEAR Inventory is up and running.
Working with such a big team, with various staff in specific roles, we have once again been pushed and are excited to improve our support system at WhichAddOn even further. We have a staff member on site for 3 days to provide Go-Live support and training. We literally walk from desk to desk and out into the warehouse – wherever we need to be – to help make each team member comfortable and confident with the new system. If there are any questions, we are there to help and guide. If there are any refinements to be made to the new system, we are there to make them.
In addition to the Go-Live support, we have provided daily training online and feedback on our review of the system to ensure everything is running smoothly and as expected. As with all implementations, there are always questions. Our support team use Accelo to manage tickets and get the answers back to the staff as fast as possible.
It’s been a pleasure assisting Cootamundra Oilseeds to move to DEAR Inventory and Xero. One of our co-founder’s, Jeri Murphy, grew up only 20 minutes down the road on a 2500-acre property and it was exciting to be back in the country doing what we love in a place so familiar.
